Bid and Contract Manager, Beinex, Dubai, UAE

 s a Bid and Contracts Manager, you will be exposed to a complete end-to-end view and close involvement in crafting winning bids and partnerships, from the vendor registration process to the contract signing stage. Understand the strategic direction set by senior management and drive effective collaboration across the bid process. An ideal coordinator right from reviewing and approving contract terms to coordinating deadlines, supporting budgets and securing transactions in the company’s best interest.

Responsibilities

  • Manage the response process against RFI/RFQ/RFPs and ensure that all submission milestones and deliverables get met promptly
  • Identify interdependencies and develop an overall bid project plan with tasks and milestones, documents, deliverables, and associated timelines
  • Schedule and facilitate proposal development kick-off meeting in which both internal and external participants attend to discuss the proposal requirements, review the compliance matrix, identify individuals responsible for each section of the RFP response, and check the proposed development schedule as a team
  • Review all proposal draft and final document versions to ensure responsiveness to RFP, thoroughness, accuracy, and quality while ensuring the document layout and design maximizes the selling impact and readability of the proposal through effective visualizations

  • Identify any potential problems that may arise during the proposal development process and develops practical solutions
  • Effectively communicate with the client on clarifications, requests for extensions, waivers etc.
  • Manage bid retrieval and submission through standard procurement portals like Oracle, Ariba etc.
  • Creation and maintenance of standard technical materials (legal compliance documents, technical proposals, standard proposal templates and so on)
  • Collaborate with Sales, Solutions, Marketing and Delivery teams as required at different stages throughout the lifecycle of bids
  • Develop critical contents required for bid submission using ppt., excel, word etc.
  • Create, analyse, negotiate, and execute an array of contracts for various transactions
  • Participates in client meetings to resolve deviations and expedite the contract signing process.
  • Review and evaluate client contracts based on the organisation’s work policy, and escalate deviations as appropriate

  • Verification of legal documents & safeguarding the organization’s interest
  • Draft complex Statements of work, Change Requests, and negotiations, and be involved in all documentation processes until the sign off of the contract
  • Skilled in Contract Life Cycle Management with in-house templates according to the nature of work, as applicable across different departments and different customers
  • Ensure that the relevant systems are updated with the required information from the Contracts Life Cycle process perspective
  • Ability to mitigate risks by compliance to practices & internal policies of the companies as well as external regulations & laws

Key Skills required

  • 3+ Experience in pre-sales/bid management/sales enablement, in BPM/BPO/ITO/ITES/SaaS companies in RFP response and proposal development experience (or equivalent)
  • Previous experience in working with contract regulations and related laws is strongly preferred
  • Expected to work on multiple assignments with overlapping schedules and needs
  • Ability to multitask and delegate responsibilities to team members to accomplish tasks.
  • Expert level communication skills in English (oral & written)
  • Expert level proficiency in MS Office Suite (especially in PowerPoint)
  • Experience with standard procurement and bid portals like Oracle, Ariba etc.
  • Obsessive attention to detail
  • MBA candidates preferred but not mandatory
  • Ability to manage multiple stakeholders across teams
  • Capable of crafting a detailed Project Plan for time and quality management
  • Keep track of standard management procedures and life-cycle management
  • Fluency with standard methodologies and ensure these are replicated across all deals
