Administration Assistant, UTEC Survey Group, UAE

Advert    UTEC, part of Acteon Group, is one of the world’s largest independent offshore and onshore survey providers. We provide a wide range of survey, positioning and data management services using the most advanced equipment and techniques. The data we generate provides our clients with the information they need to make critical, well informed, business decisions.

UTEC is currently seeking to hire an Administration Assistant on a full-time, permanent basis for their team in Abu Dhabi, UAE. The Administrative Assistant will provide administrative support required by Business Unit Director, Operations Manager, Project Manager and or their delegate.

Duties/Responsibilities
• Provide administrative support to Business Unit including, and not limited to, general clerical,
receptionist and project based work
• Compose and/or edit a variety of correspondence, reports, memoranda, and other material
requiring judgment as to content, accuracy, and completeness
• Assist with all personnel logistics, hotel bookings and flights
• Provide administrative support visa applications, liaise with Visa agents, government work
permit approvals, health insurance, company documents and office tenancy
• Monitor all Offshore & Office personnel movements and work deployments
• Monitor and validate all Offshore Personnel expense submissions
• Maintain Offshore Personnel expense records by data entry of processed Personnel expenses
• Provide direct administrative support to offshore personnel on an ad hoc basis (typically
handling of Personnel Welfare issues)
• Provide administrative support to the Operations Team including, but not limited to, general
clerical, receptionist and project based work
• Liaises with Travel provider to schedule flights, arrange visas, hotel and rental car
accommodations for all regional employees and provides itineraries in a timely manner
• Ensures route and carrier options are most appropriate based on project needs and employees
departure points
• Researches alternate options when preferred travel is not available
• QC of regional travel logs to ensure accuracy
• Responsible for the review of Global travel providers invoice to ensure accuracy, correct project
codes are referenced and invoices are presented with supporting documents
• Liaise with Safety Training, Medical Centers to coordinate the efficient and cost-effective
organization of Offshore Personnel Medical and Safety Training schedules;
• Monitor travel and lodging costs, perform cost comparisons to actively seek cost savings
• Maintain and acknowledge the need for a high level of company and customer confidentiality
• Support document requirements for tender prequalification as required by commercial team

Requirements
• High School Diploma or associate degree with excellent knowledge of MS office applications
• Excellent communication skills, both written and verbal

About The Role

 

This position is responsible for providing administrative support for multiple senior leaders in KSA. Candidate will perform all administrative functions and will require the ability to successfully balance assignments and a variety of tasks from multiple individuals.  This role will be responsible for routine and non-routine tasks and will require independent judgment to plan, prioritize and organize workload.   Candidate may interact with Clients and other FTI leaders and will be required to maintain absolute discretion and confidentiality as would be expected of a professional in this role.  

 

What You’ll Do

·       Maintain calendars, identifying conflicts and resolving promptly

·       Coordinate all meeting and travel arrangements

·       Set-up conference calls, including contacting/notifying participants

·       Create documents, reports, presentations and spreadsheets using appropriate software and company templates

·       Assist in research projects by efficiently conducting searches of the Intranet/Internet

·       Maintain contact lists and input new business contacts into SalesForce CRM

·       Assist with new client opportunities including initial input into SalesForce and running conflict checks

·       Capture time and expenses within applicable FTI systems

·       Maintain reconciliation of Amex statements as required by Executives

·       Assist in prioritization of correspondence and phone messages

·       Complete requests for deliveries, faxes and couriers

·       Create and maintain paper and electronic files

·       Organise client and employee events as and when required

·       Assist with client portal maintenance and assist with tender submissions

·       Support with the day-to-day smooth running of the office when required

What You Will Need to Succeed

 

    5+ years of administrative support experience required
    Fundamental knowledge of the consulting industry and its customary practices desired
    Proactive and initiates projects, accepting of new assignments and challenges
    Manage multiple simultaneous projects and meet deadlines
    Ability to work in fast-paced, deadline driven environment
    Demonstrate excellent oral and written communication skills
    Work effectively as part of a team and lead a team when required, yet be able to work independently with minimal supervision
    Perform all tasks with attention to detail and review for accuracy
    Ability to maintain confidentiality

As an Office Administrator you will be responsible for overseeing the daily operations of the office, ensuring efficiency and organization. As Office Administrator, you will have to

 

Office Administration:

    Manage office operations, supplies, and equipment.
    Handle incoming and outgoing correspondence (emails, phone calls, mail).
    Maintain records, files, and databases with accuracy.
    Assist with scheduling meetings, appointments, and travel arrangements.
    Support HR functions, including onboarding and employee records management.
    Process invoices, expense reports, and basic bookkeeping tasks.
    Ensure compliance with office policies and procedures.
    Coordinate with vendors, suppliers, and service providers.
    Provide general administrative support to management and staff.

 

Logistics & Supply Chain Support:

    Coordinate shipments, deliveries, and inventory management.
    Track incoming and outgoing shipments, ensuring timely deliveries.
    Liaise with suppliers, freight forwarders, and transport providers.
    Maintain logistics records and documentation (e.g., shipping labels, invoices).
    Assist with customs clearance and regulatory compliance.
    Monitor stock levels and coordinate restocking with suppliers.
    Troubleshoot delivery issues and resolve logistical challenges.
    Prepare export and import documents in compliance with regulatory and customs requirements.

 

Warehouse:

    Receive raw materials, verify them, perform transactions in the ERP, and add them to the inventory.
    Label, classify, and package products and goods.
    Inspect certain important parts upon receipt.
    Manage the warehouse, ensure cleanliness, identify materials, and perform entry/exit controls.
    Ensure order and proper maintenance of inventory materials.
    Under the supervision of your hierarchy, conduct regular physical inventory of the warehouse.
    Monitor the condition of our "emergency stock" and alert in case of a shortage of parts.

 What makes you an asset to our team
 

    3 years of experience in Administrative/logistics role preferably in GCC country.
    Kowledge of delivery management, customs, and incoterms.
    Experience with the SAP platform is an asset.
    Ability to organize tasks autonomously based on given priorities.
    Ability to understand interactions between various company departments.
    Intermediate computer skills and ability to work with several different software.
    Developed interpersonal skills to handle more difficult cases tactfully.
    Advanced English, both spoken and written.
