Department Admin Assistant, Doha, Qatar

We need a Department Admin Assistant,


We are currently seeking a reliable and proactive Department Admin Assistant to support daily administrative and coordination activities within the department.


Key Responsibilities:

  • Provide day-to-day administrative support to the department

  • Assist in preparing, reviewing, and maintaining corporate documentation and records

  • Support basic finance-related processes (LPOs, invoices, tracking, and filing)

  • Ensure timely submission of documents and adherence to internal procedures

  • Support reporting and data tracking as required

  • Liaise with internal teams and external stakeholders when needed

  • Assist the department in meeting deadlines in a fast-paced environment

  • Provide general coordination and team support as assigned


Requirements:
  • Previous related experience in an administrative or support role

  • Excellent communication skills (written and verbal)

  • Basic understanding of corporate procedures, finance, and documentation processes

  • Result-oriented with strong attention to the details

  • Quick learner with the ability to adapt to new systems and processes

  • Reliable and responsible

  • Strong team player with a collaborative mindset

  • Able to work under timelines, pressure, and in a fast-moving environment

  • Pleasant and professional personality

The Role
We are seeking a highly organized and proactive Executive Assistant to support our senior leadership team in our dynamic engineering services company based in Dubai, UAE. The ideal candidate will play a pivotal role in ensuring smooth office operations, managing schedules, and facilitating effective communication across all levels of the organization. Responsibilities: - Manage and maintain executives' schedules, appointments, and travel arrangements. - Coordinate meetings, prepare agendas, and take detailed minutes. - Handle confidential information with utmost discretion and professionalism. - Liaise between executives and internal/external stakeholders to ensure timely communication. - Assist in preparing reports, presentations, and correspondence. - Organize and prioritize multiple tasks to meet deadlines efficiently. - Support project management activities as required. - Manage vendor registration processes across client and government portals, including documentation submission, follow-ups, and maintaining updated records.

Requirements
  • Bachelor’s degree in Business Administration or related field. - 2–4 years of experience in executive/administrative support roles in the UAE. - Prior exposure to vendor registration, documentation, or government portal coordination is preferred. - Strong proficiency in MS Office (Excel, PowerPoint, Outlook); ERP knowledge (e.g., Epicor) is a plus. - Highly organized with strong follow-up skills and attention to detail. - Professional communication skills with ability to handle confidential information. - Experience working with cross-functional teams and external stakeholders. - UAE driving license preferred.

The British International School Abu Dhabi is looking to appoint a Receptionist to join a well-established, supportive team in a highly successful school.

About the Role

As a receptionist you will be responsible for delivering an outstanding experience for parents and students through the Family Experience Journey. Your goal will be to provide a warm, professional and personalised experience for every family, ensuring each interaction reflects our school’s values and high standards.

Key Responsibilities

Welcoming Visitors and Responding to Enquiries
  • Act as the first point of contact for all school visitors enhancing the reputation of the school by creating an excellent first impression.
  • Meet and greet parents and visitors, ensuring that all enquiries are dealt with in a professional and friendly manner.
  • Be aware of upcoming school events in order to effectively and knowledgably deal with enquiries.

Telephone Calls, Messages and Deliveries
  • Answer, screen and direct telephone calls.
  • Ensure all calls are answered or transferred within 5 rings
  • Check and set telephone answer machine services frequently
  • Monitor the log of all incoming calls
  • Accurately take and relay messages and enquiries from members of the public, including current and prospective parents and new employees to the relevant department.
  • Receive, sort and distribute mail and deliveries.

Reception Area
  • Maintain a tidy desk, lobby and reception area.
  • Order, replenish and tidy magazines and newspapers as necessary
  • Ensure BIS Abu Dhabi information is readily available in all reception areas
  • Ensure all screens display accurate and relevant information
Security
  • Create and distribute staff and parent ID badges in line with school policy.
  • Work in conjunction with the security guards to maintain security awareness within the school.
  • Manage the access of parents, students, and visitors to school building during the school day.

Administrative Support
  • Maintain the staff register and monitor employees arriving late or leaving early.
  • Issue “late slips” and mark attendance for late students using iSAMs and issue “early collection slips”.
  • Issue/receive term time absence forms.
  • Receive student doctors/ Medical certificates and sending to relevant departments.
  • Assist in distributing and maintaining the fire register and evacuation procedures.
  • Support school events where necessary (ticketing, promotion, organisation).
  • Provide general administrative and clerical support to the school where necessary.
  • Maintain manual and computerized records and filing systems in order to ensure effective information storage and retrieval arrangements.

Role Overview


Company is seeking a highly organized and proactive Operations G Scheduling Executive to
manage the academy’s daily operational workflow.

This role sits at the operational core of the academy, ensuring schedules run smoothly, enquiries are handled efficiently, and operational systems remain accurate and well- coordinated.

The position requires strong multitasking ability, excellent communication skills, and the
discipline to manage multiple operational activities simultaneously.

Key areas of responsibility include
:
  • Scheduling and slot optimization
  • Enquiry handling and player onboarding
  • Parent and coach coordination
  • CRM and booking system management
  • Billing coordination and payment follow-up
  • Platform and operational systems support
Core Responsibilities Scheduling G Slot Management


  • Manage weekly and daily training schedules across coaches, players, and courts
  • Maximize schedule utilization and minimize idle slots
  • Coordinate cancellations, rescheduling, waiting lists, and make-up sessions
  • Ensure accurate scheduling with no coach or court conflicts

Enquiries G Player Onboarding

  • Manage incoming enquiries from WhatsApp, phone, website, and social media
  • Provide clear information to prospective players and parents
  • Coordinate trial sessions and onboarding
  • Maintain accurate CRM records and player categorization

Daily Operational Coordination

  • Act as the main communication link between parents, coaches, and management
  • Manage attendance issues, substitutions, and schedule changes
  • Maintain clear and professional daily communication
  • Record attendance and support operational tracking
Booking System G CRM Management
  • Operate the academy’s scheduling and booking platform (First Class Retention)
  • Maintain accurate player profiles, schedules, and enrolments
  • Ensure real-time system accuracy across scheduling and CRM platforms
  • Identify and coordinate resolution of system issues when required

Billing G Payment Coordination

  • Support billing preparation and session validation
  • Coordinate with Accounts for accurate invoicing through Zoho Books
  • Track outstanding balances and support payment follow-up
  • Assist with monthly coach revenue and billing reconciliation

Platforms G Systems Coordination

  • Support the effective operation of the academy’s business platforms including scheduling, CRM, billing and communication / messaging tools
  • Understand how operational data flows between systems
  • Monitor platform integrations and flag issues, bugs, inconsistencies, or disruptions
  • Coordinate with technology partners to resolve issues C fixes as needed

Technology, Platforms G Tools

  • Work confidently across the academy’s digital tools, including scheduling software, CRM systems, billing platforms, Excel, cloud storage tools, and WhatsApp communication
  • Maintain accurate operational data, records, and templates across
  • Regularly check system functionality and document issues clearly for follow-up
  • Support the use of workflow tools such as Figma or similar for process mapping and
  • documentation

Process G Workflow Support

  • Support the documentation and improvement of operational workflows
    Maintain process documentation and workflow diagrams where required
  • Ensure operational templates and communication standards are followed
  • Assist in improving processes as the academy grows
