About the Company: We are a well-established furniture company in Dubai, offering premium furniture solutions for homes and commercial spaces. We are seeking a dependable and proactive Administrative Assistant to manage daily operations, handle customer communication, and support our showroom team. Key Responsibilities: • Answer and manage phone calls professionally and courteously • Prepare and send quotations using Odoo ERP and support the sales team. • Create and manage invoices, purchase orders, and delivery notes. • Coordinate with DEWA, Du, and other service providers for bills, service requests, or issues. • Handle daily showroom issues, such as water leaks, A/C problems, maintenance, or cleaning needs. • Coordinate and follow up on technical issues including network problems, office machines, and equipment repairs. • Contact technicians, service companies, or landlords to resolve operational problems quickly • Maintain proper filing of documents (physical and digital) for customers, suppliers, and maintenance • Assist with HR administrative work such as attendance, visa documents, and employee coordination • Keep records of inventory and showroom supplies through Odoo and manual checks. • Ensure all office and showroom operations comply with UAE laws and business procedures.
Requirements
Requirements: • Minimum 4 years of administrative experience (UAE experience preferred) • Bachelor’s degree in a relevant field. • Previous sales experience. • Proficient in Odoo ERP, especially for quotations, sales, and inventory • Good knowledge of UAE utility systems (DEWA, Du) and basic maintenance coordination • Ability to coordinate with IT and technical support for network and equipment issues • Strong skills in Microsoft Office (Word, Excel, Outlook) • Excellent communication skills in English • Well-organized, detail-oriented, and capable of handling multiple tasks • Able to work independently and follow up with service providers or vendors when needed
