Job Description
Job Responsibilities:
Responsible to look after the overall administrative requirements of the Projects Department.
Oversee and organize overall documentation for projects through the various systems, for all projects – Design through handover.
Responsible to lead project documentation implementation in alignment with the “Paperless” initiative within AWRP in Aconex.
Responsible to process all Internal Memos as required to secure management approval while coordinating with all required stakeholders (AWR Group Companies and Group Departments related to the Projects.) via online Pandadoc documents approval system.
Responsible to update the Project Commercial team on the status of all admin efforts as required for each individual project and/or renovation exercise.
Responsible to maintain the time allocation of AWRP team members which needs to be shared with Finance team during the first week of every month.
Responsible to Coordinate and schedule all Project meetings with internal teams, Consultant / Contractors / Sub contractors / suppliers.
Responsible to coordinate with Internal Team as well as Project Control Team to make sure project reports along all required Project Updates get produced to allow visibility to All Stakeholders.
Coordinate and Schedule all Project Meetings with Internal Teams, Consultant, Contractors, Sub contractors and suppliers.
Provide assistance to Projects team as required with regards to various details of the Consultant/Contractor during the Defects Liability Period and coordinating with the Contractors for the rectification of Snags arising during Defects Liability Period.
Assist / supervise in collecting / checking all as-builts documents and all other relevant documents and facilitate the handover of the same to FM Dept and maintain the electronic copies of these records in the system / server.
Assist the Commercial team in variation finalization/tender review/tender comparisons.
Assist the Project Management team in minuting key meetings and for any follow ups.
Coordination and follow-up with all AWRP team members to ensure timely issuance of internal PR/PO’s and memos.
Coordinate closely with AWRP Finance department for the issuance of project payments, submission of payment requests / follow-up and obtain the payment status keeping a close communication channel with Consultant, Contractors and vendors while obtaining receipts for the payments made for records and forwarding original receipts to Finance team.
Follow up with inter-departmental peers for meetings/events/other aspects.
Qualifications / Experience / Competencies:
Bachelor’s degree with 10 years’ experience in projects administration.
Thorough understanding of documentation and processes from Design to Tender, Construction through Project Handover.
Previous experience in major projects (mixed use/residential towers etc.) is a must.
High level of proficiency in MS applications (Word/Excel/PowerPoint) and Aconex (or similar) document management system.
Strong verbal and written communication skills in English.
Previous relevant experience with Consultants and/or Developers.
