Job Description
1. In a timely accurate and polite manner receive, direct and relay internal and external telephone calls and messages.
2. Receive record and direct all faxes and E-mails received.
3. Receive and record all external correspondence for Managing Director. Direct accordingly.
4. Prepare Arabic letters and reports as requested by Management.
5. Take relevant documents to Dubai Municipality as requested by Management.
6. Maintain inventory of office stationary supplies ensuring adequate supplies at all times.
7. Ensure the reception area is tidy and clean at all times.
8. Respond to requests received for procurement of stationery supplies.
9. Co-ordinate the repair and maintenance of office equipment.
10. Ensure the reception is manned at all times arranging for cover when not available.
11. Attend to visitors.
12. Maintain confidentiality at all times.
13. Provide administrative support to management & Staff when required.
14. Under the instruction of the H. R Manager create and maintain database of all legal documents of staff.
15. Arrange work permit, visa and any other legal documents as requested by management.
16. Ensure the implementation of Quality Management System that complies with standard ISO 9001:2008. Ensure that policies and procedures are being adhered to at all times.
17. Complete Human Resource paperwork.
18. Other duties as assigned.
QUALIFICATIONS & EXPERIENCE REQUIREMENTS:
Qualifications: High school or Diploma
Experience: Over 2 years experience in similar position.
Age: Over 25 years of age
KNOWLEDGE AND SKILL REQUIREMENTS
1. Work required willingness to work a flexible schedule
2. Ability to make commitments and take action to keep deadlines.
3. Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills and the ability to type.
