Executive And Group Operations Assistant, Poseidon Human Capital, Dubai, UAE

We need an Executive And Group Operations Assistant, 
The Role

• Provide daily administrative support to the CEO and Operations Director - Manage calendars, schedule meetings, and coordinate communication with internal teams and external clients - Assist with general office administration, document management, filing, and data tracking - Support basic HR administration across the group — including sending SAFs, tracking probation periods, managing reminders for probation completions, and maintaining employee records - Draft invoices, correspondence, and reports for sister companies within the group - Manage client requests and communications, ensuring timely and professional handling - Organise meetings, prepare agendas, take meeting notes, and track follow-ups - Act as administrative cover during the absence of the Operations Director - Coordinate with different business units and provide flexible administrative support as required

Requirements

• Based in Dubai and available for in-office work - Previous experience in an administrative or personal assistant role is an advantage - Exposure to HR administration is a plus - Strong organisational skills with the ability to multitask and prioritize effectively - Excellent written and verbal communication skills in English (Arabic is a plus) - Proficient in MS Office (Word, Excel, Outlook) - Flexible, proactive, and willing to support a variety of tasks across business functions
