Job Description

Accounts Receivable:-

 Ensure and monitor timely receipt of daily sales report from town office and airport office including EBT sales.  Accountant should adhere to the deadlines received from HO from time to time so as to ensure smooth monthly closing of accounts.

 Verify daily sales reports to ensure issue of documents in sequential order for all manual documents issued and fare applied is as per the system. Ensure to attach/provide copy of authorities/approvals for any special fares applied like one off deals, Tour packages, any other discounted/promotional fares etc.  Ensure all manual documents are captured in Sabre using WYM in order to appear in the ASR.

 Ensure the cash reported as per daily sales report match with the actual cash collections on a daily basis and report to HO for deviations if any.  

 Ensure deposit of cash collections to Oman Air bank a/c on a daily basis

 Ensure preparation of ADMs to Agents for any amount to be collected on behalf of Government taxes & levies etc.   ADMs for fare differences, taxes short reported etc. will be reported through sales audit process.  Information with regard to changes in taxes or fares received from HO Commercial Department needs to be informed to HO-Finance with the date of applicability and all.

 Check and authorize Refund Applications received from BSP Agents in time to avoid complaints from Agents

 Receive the invoices

 Check if approvals on the invoice are in order as per the Manual of Authority

 Check if the rates charged are as per the Contract/ PO and the quantity is confirmed by the user department prior to processing the payment

 Ensure that invoices are approved by the Country Manager/ Airport Manager as the case may be

 Enter the invoice in ERP giving proper narrations specifying the nature of the transaction and the period the invoice pertains to and any other relevant details

 Use the correct accurate code combinations to reflect the correct LOB, RC, Account Code, SN1 and SN2

 To ensure that accounting of certain costs specified by HQ are captured in detail while booking the invoices

 Ensure that the softcopies of the invoices are attached to the relevant voucher in ERP

 Initiate the invoices for approval and follow up with immediate supervisor for approval

 Process the payment based on the agreed credit terms.

GL Reporting:

 Review and reconcile the GL accounts related to the Station every month before the 15th of next month

 Pass necessary rectification entries to clear the reconciliation items every month

 Create adequate monthly accruals for various expenses (rent, utilities, EOSB, Social Security etc.) and reconcile the same once actual invoices are booked

Taxation:

 Preparation and filing of periodical VAT returns either directly or through the Tax Consultant as the case may be

 Liaise with the consultant and/ or Tax Authorities and provide the required data/ reports/ information as requested by them within the agreed time in consultation with HQ

 Preparation and submission of Tax Returns within the due dates either directly or through the Tax Consultant as the case may be

 Provide all the necessary information to the Tax Authority with the timeframe agreed in consultation with HQ

 Process all taxation related payments within the due dates

Role Purpose:

 

Set and lead the strategy and direction for the front-line Customer Relations Management team, including the customer happiness centers, customer hub (call center), lead management and digital CRM in all functions at every customer touchpoint from signing of Sales and Purchase Agreement, during the property handover, transition and post-handover operations including managing the customer interface for the defects liability period and post-handover call center enquiries. Manage the front-line customer care teams on behalf of Community Management, ensuring that SLAs are met or exceeded. Take a leading role in the development and execution of the VIP engagement programme, ensuring that a differentiated experience is created and delivered.

 

Role Details – Key Responsibilities and Accountabilities:

 

Set and lead the strategy, manage the continuous improvement of customer service experience, increasing customer engagement, facilitating organic increases in customer satisfaction, loyalty, retention and build MAF Development as the premier development organization in the Middle East and globally.

Lead the development and implementation of all procedures and policies governing customer correspondence and the handling of customer complaints, (including during the Defect Liability Period (DLP) phase) through every customer channel.

Support the customers and internal teams managing Property Handover and DLP strategies, policies and procedures.

Plan and lead customer relationship status calls, including scheduling, planning, communications, and post-meeting review notes and dissemination of notes internally and to customers and provides follow-up on open issues.

Ensure customer complaints and issues are tracked and followed up to ensure prompt resolution.

Manage the Digital CRM execution across the supported channels.

Lead the implementation and execution of the VIP programme, ensuring that VIP customers are quickly identified, nurtured and made to feel recognized in the community, as well as coordinate with Loyalty team and programme where appropriate.

Lead and embed a customer-data strategy, ensuring that regular updates to customer data are implemented, tracked and measured.

 

Job Dimension – (E.g. Revenue & Budget size, Sales Volume etc.)

 

Manages a team of up to 20 people, excluding the call center agents. Supports the sales volumes of AED3B+ and manages an operating budget of AED 7M to deliver on all initiatives. Is a key partner to all stakeholders in the business and is seen as the immediate “go-to” person for all “customer” operational activities.

 

Other Context (if applicable):

 

Ability to demonstrate leadership and patience, and to handle unexpected complaints or events in a professional manner with a calming presence.

 

Functional/Technical Competencies:

 

Proven working experience as a customer service lead or CX lead and demonstrate ability to think strategically to ensure continuous improvement.

Excellent knowledge of Customer Service and Customer Care management methods and techniques

Working knowledge of customer service software, databases, and tools

Awareness of industry’s latest technology trcuends and applications

Strong client-facing and communication skills

 

Personal Characteristics and Required Background:

 

Minimum Qualifications/education

 

Degree in Business Administration or equivalent Minimum experience

15 years of experience in a similar job

5 years’ experience in the Middle East

Operation

Sales Coordination

1. Provide and assist Sales Support tasks in preparation and collection of sales reports, revenue budget documentation

2. Provide assistance to the (CM & DSM) as and when required for all activities within the domain of the job function,

 General Administration

1. Manage all secretarial duties pertaining to (CM & DSM) in order to ensure timely completion of all requesting activities.

2. Answer all incoming telephone calls for the concerned staff and deal with general enquiries in order to provide information to the requesting clients or form any other department personnel.

3. Write general correspondences to issue memo and letters to all staff in office, dispatch all incoming and outgoing mail to the concerned staff and make sure that the correspondence reaches the right staff.

4. Monitor on a daily basis and maintain up to date file management and its confidentiality for effective retrieval and perusal.

5. Establishing and maintaining efficient office systems e.g. correspondence management, filing, template harmonization etc.

Coordination & Liaison Management

1. Liaise & coordinate among the assigned station, Regional Office and HQ.

2. Coordinate with local institutions and HQ departments in order to ensure that the new joiners receive all facilities required from the respective section.

3. Coordinate with IT department at Head Office and follow up to ensure timely resolution of all technical issues at office

4. Liaise with landlord / Oman air administration department personnel sat Head Office and follow up to ensure timely completion of all administrative and maintenance issue.

Stationery & office Equipment

1. Monitor and maintain all office equipment’s, brochures & gadgets and coordinate with respective personnel in the office to issue / sort out all stationery and office equipment issue.

2. Monitor the utilization level of all stationery, brochures & gadgets at office, forecast demand for supplies and raise the necessary requisition in the necessary ERP system

3. Keep track of all promotional item’s to be distributed on order to make or stop surplus orders of promotional items for customer/ visitor.

Agreements

1. Ensure to keep track of contract agreement process involving sign up with 3rd parties like hotels, lease companies, office rent, rental companies etc. from preparation of agreement to maintaining and renewal for effective retrieval and perusal by Senior Management.
