The candidate will be accountable for planning and coordinating office operations to ensure the effectiveness, efficiency, and security of the company. Along with performing any ad-hoc jobs as needed, will also be in charge of providing executive support the senior management

Job Description

Diary management, schedule calls and meetings, send out reminders, and organise travel (including helping the CEO and MD's families with with necessary travel arrangements).

Pantry (procurement/inventory, etc.), stationery, and office supply purchases.

Oversee office cleanliness and upkeep.

Primary point of contact for all IT-related issues, including follow-up on IT requests as needed.

Maintain employee leave balances and entitlements and coordinates staff training's and meetings.

Support and administrate all office filing systems, check the mailbox at the office and secure office equipment for incoming hires.

Invoice processing maintain a petty cash journal as well as cash and as needed and generate statements for the accountant.

Serve as the executive's main point of contact with internal and external clients.

Carry out the duties of answering calls, handling correspondence, and handling requests and inquiries professionally.

The Successful Applicant

The ideal candidate for this role will have the following

Bachelor's degree is highly regarded.

Excellent Excel skills is a must.

Only UAE-experienced applicants.

Candidates with prior experience with a background in professional services will be given preference.

3 years or more of equivalent experience (Secretarial, Admin, Office Manager).

Fluent in English (Speaking & Writing), Arabic is a plus.

Intermediate or advanced Microsoft Office software user.

Effective time management skills, setting priorities, and multitasking.

Switched on personality with the ability to work independently.

Reporting to the Head of Finance. This role holds responsibility for the general accounting function including preparing journal entries, maintaining balance sheet reconciliations, assisting with monthly closings, account analysis and supporting the Assistant Finance Manager in carrying out responsibilities of the accounting department.

Key responsibilities include, financial data management, report preparation, assisting line manager with annual audit process, invoice and payment process and reconciliations of key accounts.

What you'll need to succeed

To be considered for this position, candidates must be semi qualified finance professionals holding or currently pursuing certifications in ACCA, ACA, CPA etc. with a degree in Accounting and Finance Related subjects.

Candidate must haves:

- 3 – 5 years’ experience in a similar industry

- Experience working in an accounting

- Experience with creating financial statements

- Experience with general ledger functions and the month-end / year-end closing

- Advanced Excel skills

SOCIAL INITIATIVE:

Responsible for planning, leading, organising and motivating Agile teams either within a Data & Analytics function or outside to achieve a high level of performance and quality in the delivery of outputs that provide exceptional value to end users and customers. The Agile Delivery Manager may be responsible for managing several concurrent high visibility initiatives using agile/hybrid(for Package Acquisition) methods in a fast paced environment that may involve multiple business units.

2. JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS

1. Facilitate key Agile ceremonies, both at team and AAT level and play a consultative role to help put in place the appropriate people, process, and tools supporting the Agile framework and coaching members of the team as needed to optimize the efficiency of the Release Train team.

2. Facilitate portfolio level governance, including control groups and steering groups to ensure alignment on progress, roadmaps and priorities across multiple business departments and own the relationship with key business stakeholders.

3. Act as an Initiative lead and take on the responsibility of the end to end delivery of projects / programs, ensure controls are in place with appropriate levels of RAID management, stakeholder management and communication.

4. Act as a Champion in blending traditional project / program management principles and practices with an Agile development approach in the right proportions to fit intiatives of all sizes with the appropriate level of planning and provide the right balance of agility and predictability based on PMI-ACP principles.

5. Build a trusting and safe environment where problems can be raised without fear of blame or retribution, with an emphasis on healing and problem-solving. Protect and provide all support to the team/s using a servant leadership style whenever possible and lead by example. Facilitate getting the work done practicing servant leadership and encourage discussion, decision making and conflict resolution.

0. Lead the Integrated Programme Planning (Lean Start Up) – working with portfolio teams and supporting the Technical Product Manager / Owner, drive and facilitate decomposition of Product Roadmaps into Integrated Program backlog/plans (Features), ready for hand off into team level backlogs.

0. Drive Quality and ensure the Definition of Done (DOD) is being followed; ensures each team member is fully engaged in the stories and making a meaningful contribution. Encourage a sustainable pace adhering to the agreed quality management plan with the team. Maintain an agile project management tool (e.g JIRA, Confluence etc.).

1. Assist in team development through holding teams accountable for their commitments, removing roadblocks to their work; leveraging cross functional team skills to improve product backlog throughput; and mentoring and developing team members. Attend regular ceremonies including stand-ups and AAT syncs etc, in order to understand the team’s progress and issues, and to flag up to the team, where necessary, any important external issues of which they need to be aware.

0. Supports the Technical Product Manager / Owner in managing business expectations and transparency in both product backlog and schedule for all initiatives. Supports IT Service Manager on service management, service performance and continuous improvements.

1. Define and manage a well-defined process and champion ongoing process improvement initiatives to implement best practices for Agile Delivery Management. Implement an agile governance with key ceremonies, drives continuous improvement with constant assessments of velocity (team story point throughput), defect percentage improvements etc and also ensures that required governance and ceremonies are in place to give visibility and transparency to business stakeholders.

0. Assist with the cost estimation / sizing exercise for both near term and future intiatives and assists with preparing total cost of ownership with the product team, maintains the actuals within the allocated budget and also ensure that forecasting for all the demands are accurately done for the FY.

0. Together with the Product team, supports the RFx phases in the procurement process and the scheduling of such activities in relation to the product lifecycle.

Qualifications & Experience

3. MINIMUM QUALIFICATIONS/EXPERIENCE/KNOWLEDGE/SKILLS

Qualifications:

Computer Science or similar.

Certified SAFe / PMI ACP (additional certifications such as PMI, Prince 2, CSM desirable) with 5+ years of practical application of Agile Delivery Management.

Experience:

Relevant experience including:

- Proven leadership and project / program delivery experience in a matrix organisation with global teams for a large organisation.

- Experience in agile delivery within the context of a large technology change programmes (Data & Analytics delivery experience preferred).

Knowledge/skills:

- Well-versed in the use of tools of software delivery e.g. ServiceNow ITBM, MS OFFICE suite, JIRA, Confluence etc.

- Good architectural knowledge of large scale systems.

- Excellent knowledge of Project / Program management practices both in an agile and hybrid environment.

- Ability to effectively communicate specialist information in an understandable format to all stakeholders.

- Excellent communication skills, focusing on core Agile values of openness, honesty and respect.

- Hands-on leader with strong people management skills.
