Job Description
We have an exciting opportunity for an experienced Operations Coordinator to join the team on a permanent basis in Dubai.
This job is for you if:

You have experience of working in a busy environment
You have knowledge of Sharepoint and the use of Integrated Management Systems
Who you’ll be working with:
Acting as the liaison between our onshore and offshore teams to ensure the completion and proper documentation.
The successful candidate will be reporting to the Personnel Operations Manager and will be responsible for supporting the Operations team with administrative tasks.
Skill and Experience:
5-8 years of experience in Oil and Gas.
Personnel planning for own staff for the project.
Communicate with Procurement for third party personnel resources.
Coordination with offshore staff, HR and PRO team for UAE visa renewal.
Arrange and track personnel compliance (OGUK Medical, BOSIET, H2S, OMF Card, Seamans Book, ADNOC Medical Fitness, CICPA Pass, Offshore Pass, Port pass etc.) for the project requirement.
Contingent Worker profile creation in Workday.
Crew mobilization planning – coordinate with offshore staff in regard to travel plan, validation of certificates, vessel agents for joining formalities etc.
Coordination with own- and third-party vessel management team for the marine crew rotation and compliance for the project.
Maintain & update the personal folder of own staff, Intercompany and Third party.
Maintain and update the project safety matrix for marine and project crew.
Liaise with Clients for crew approvals and project related activities, whenever required.
Apply and track all necessary Visas for project personnel, depending on project locations.

Coordinate with Procurement to Appoint an agent at project location.
Liaise with Agents for vessel permitting, inward and outward clearances and logistical support as required.
Coordinate and assist Project Managers and Service Line Managers throughout the project cycle.
Arrange flights and hotel accommodation for base and project personnel.
Coordinate with logistics team related to general operations whenever necessary.
Manage driver’s schedule on a daily basis.
Check and process Driver’s expense report and outstation claim.
Maintain and track Vehicle utilization and maintenance.
JAFZA pass application for offshore staff.
Update hotel utilization and prepare monthly report.
Maintain IVMS tracking and reporting.
Tracking and arrange renewal for the small boat certifications.
Coxswain’s boat license and certificate renewal.
