Pall are recruiting for a Logistics Coordinator to work at their site in Dhahran in Saudi.

This is a hands-on, transactional logistics role. We would welcome applications from people who are near the beginning of the career and are looking to build on experience and develop their career in a global organisation.

Main duties:

Logistics and Distribution.

  • Responsible for planning, managing, monitoring all activities related to Logistics, distribution, and transportation of the same.
  • Ensuring on time delivery for all shipments to meet the customer expectations and to meet the projects deadlines.
  • Primary point of contact between the different disciplines to control the flow of materials and Pall products to project sites or to the customers sites as required.
  • Preparation of Purchase Requisitions / Purchase Orders for shipping invoices.
  • Following up with Freight forwarders and suppliers’ invoices and submit for payment after auditing the invoices.
  • Conducting periodic shipping analyses and preparing periodic shipping reports in an agreed timely manner.
  • Complete the documentation cycle in accordance with ISO procedures / guidelines and maintain proper recordkeeping.
  • Maintaining good relationship and interaction with internal organizations, service providers
  • Identifying the best freight forwarders, schedule, and transit time.
  • Arrange the shipments' movement with freight forwarders considering the service level and affective cost.
  • Preparing and reviewing the shipping documents needed for customs clearance whether from SAP or manually.
  • Receiving, checking, the shipping documents prior to the movement of shipments.
  • Responsible for customs clearance and ensuring the proper documentations are prepared.
  • Ensuring on time customs clearance to avoid any demurrages charges.
  • Arranging the shipment and monitor its movement.
  • Following up the status of the shipments and update concerns accordingly.
  • Also Handling third party shipments related to services and related to projects.

Experience and qualifications

  • Logistics and Customs Industry Knowledge in GCC Countries
  • Office related experience within supply chain and shipping.
  • Ability to handle communications with overseas suppliers and service providers.
  • Good Understanding of the international transportation terms (INCO Terms)
  • International Trading experience in EMEA region
  • Knowledge of Export/ Import Procedures within GCC countries.
  • Advanced knowledge of the GCC countries work and business environment
  • Competent PC skills (SAP would be advantageous)
  • Excellent oral and written communication skills in Arabic and English.
  • Ability to self manage, good time management and excellent organisation skills.
  • Ability to work to deadlines and set priorities with a demanding workload
  • Customer focused
  • Experience handling the shipping process for import and export shipments for GCC countries
  • Dangerous Goods knowledge desirable but not essential

Hotel Overview:

Fairmont Sanur Beach Bali is a world-class all-suite-and-villa resort set amidst four hectares of lush tropical gardens. Only 25 minutes from the Ngurah Rai International Airport, the property is located along 200m of golden beach in the Sanur district in southeast Bali. Once a fishing village, Sanur is today full of historical charm and a hub for Balinese art, culture and tradition well away from the hustle and bustle of the rest of the island.

 

 

Summary of Responsibilities: 
Reporting to the Director of Housekeeping, responsibilities and essential job functions include but are not limited to the following:

  • Consistently offer professional, friendly and engaging service
  • Lead and supervise the day-to-day operation of the department to ensure service standards are followed
  • Handle Guest concerns and react quickly, logging and notifying the proper areas
  • Actively participate in daily briefing, daily warm up and department meetings
  • Ensure Room Attendants are informed daily about priorities in their section
  • Follow departmental policies and procedures
  • Report necessary maintenance items
  • Follow all safety and sanitation policies
  • Other duties as assigned 

 

Qualifications:

  • Proficient in English (verbal & written) essential
  • High school diploma or equivalent preferred
  • Minimum 1 year experience in a supervisory capacity in a hotel Housekeeping environment
  • Proven training skills
  • Experience with Hotel Property Management System, Micros-Fidelio desirable
  • Proactive with a meticulous eye for detail
  • Strong organizational, supervisory and communication skills
  • Able to convey information and ideas clearly
  • Ability to evaluate and select among alternative courses of action quickly and accurately
  • Work well in stressful, high-pressure situations
  • Effective at listening to, understanding, and clarifying the concerns and issues raised by coworkers and Guest
  • Must be able to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work well with limited supervision

Key Result Areas:

  1. Cleans and services all guest villas according to the Hotel standards as per schedule.
  2. Turns down guest rooms in a timely manner as directed.
  3. Reports engineering failures and breakdowns to immediate supervisors.
  4. Cleans and maintains housekeeping pantries ensuring par stocks are properly in order.
  5. Ensures housekeeping carts are clean, tidy and properly stocked for use.
  6. Checks the condition of plants both within and outside the villas and reports any problems to immediate  supervisor.
  7. Report minibar consumption to the Housekeeping Supervisor and assist in minibar replenishment.
  8. To attend to any ad hoc guests requests ensuring that they are is properly attended to.
  9. Executes departmental administration filling in forms and checklists as required on time.
  10. Maintains and adheres to the policy regarding lost and found and reports any security concerns to supervisors.
  11. Handles customer complaints if possible, or reports them to supervisors.

General:

  1. Contributes to the morale and team spirit of the hotel by maintaining effective relationships with colleagues.
  2. Performs additional duties as directed by supervisors.
  3. Makes appropriate suggestions and recommendations to supervisors for the general improvement of the hotel.
  4. Is fully conversant with all ALLSAFE, health and safety, fire and emergency procedures.
  5. Maintains a high standard of personal hygiene, dress, uniform, and body language.
  6. Is polite and professional in any situation where the image or regulation of the hotel is represented.
  7. Attends meetings and training as required by supervisors.
  8. Ensures that all activities are carried out honestly, ethically, and within the parameters of the Bahrain Law.

  • High School Diploma
