We need an Admin Lead,

Crane Worldwide Logistics is a leader in supply chain solutions with over 130 locations across 30 countries providing individual services that address our client's logistics challenges.

The Admin Lead is responsible for overseeing all warehouse administrative functions, ensuring system integrity, documentation compliance, inventory accuracy oversight, and client reporting within a multi-client warehouse environment.

This role acts as the control tower for inventory, documentation, SLA tracking, and billing validation, ensuring operational execution aligns with contractual and regulatory requirements.

ESSENTIAL JOB FUNCTIONS:

• Client & SLA Management

  • Serve as the primary administrative point of contact for warehouse clients.
  • Ensure compliance with agreed SLAs and reporting requirements.
  • Prepare and review daily, weekly, and monthly client reports.
  • Serve as the main co-ordinator for all warehouse activity..
  • Report all activity and warehouse performance clearly and concisely to CL Manager
  • Collaborate with the CL manager and capture revenue consistently.
  • Support client audits and performance reviews.
  • Escalate service or compliance risks to the Contract Logistics Manager.
  
  

  Documentation & Compliance (JAFZA)

  • Oversee all inbound and outbound documentation processes.
  • Ensure compliance with JAFZA regulations and free zone requirements.
  • Validate delivery notes, gate passes, transfer documentation, and stock records.
  • Maintain audit-ready documentation at all times.
  • Coordinate with transporters and relevant authorities when required.
  
  

  Inventory Governance & System Control

  • Oversee inventory accuracy across all client accounts.
  • Supervise cycle counting program managed by the Inventory Controller.
  • Review and approve stock adjustments following investigation.
  • Monitor WMS transaction accuracy and location control.
  • Ensure FIFO/FEFO, batch, and serial number compliance where applicable.
  
  

  Reporting & Billing Validation

  • Validate storage and handling charges in line with client contracts.
  • Review billing inputs related to pallet positions, handling, and value-added services.
  • Proactively aim to reduce monetary waste in all aspects of the warehouse operation.
  • Monitor ageing stock and storage utilization trends.
  • Provide performance and variance reports to management.
  
  

  Process & Continuous Improvement

  • Develop and maintain warehouse administrative SOPs.
  • Identify process improvement opportunities in documentation, reporting, and control.
  • Ensure clear separation between operational execution and inventory governance.
  • Support implementation of system enhancements where required.
  
  

  Key Performance Indicators (KPIs)

  • Inventory accuracy agreed SLA target
  • Zero compliance penalties (JAFZA)
  • Billing accuracy 99%
  • On-time and accurate client reporting
  • Audit compliance score
  • Variance resolution turnaround time

PHYSICAL REQUIREMENTS:

• Talking, hearing and using hands to operate computer equipment
• Vision abilities required by this job include close vision and the ability to adjust focus.

Technical Skills:

• Strong WMS/ERP knowledge
• Advanced Excel skills (pivot tables, lookups, reporting dashboards)
• Knowledge of inventory control methodologies (FIFO, FEFO, batch control)
• Understanding of SLA and contract interpretation
• Documentation and compliance management

EDUCATION REQUIREMENTS:

• Bachelor’s degree in Supply Chain, Logistics, Business Administration, or related field (preferred).

EXPERIENCE:

• 4–7 years’ experience in warehouse administration or 3PL environment.
• Experience in multi-client warehouse operations preferred.
• Strong understanding of inventory control and WMS processes.
• Experience working within UAE Free Zone environment (advantageous).

CERTIFICATIONS AND LICENCES:

• Professional certification may be required in some areas.

Working Conditions

• Based in warehouse office environment (JAFZA)
• May require occasional extended hours during audits or reporting cycles
