For our growing office in Dubai, we are looking for a Bid Coordinator with a commercially-creative mindset and a pro-active attitude to contribute to the growth of our presence in the Middle East. The Bid coordinator is primarily responsible for managing bid teams and assuring the timely creation of compliant proposals and winning pitches. As the nature of our small set up requires flexibility, creativity and enthusiasm, we are looking for a hands-on, team-player who has the ambition to be part of the exciting expansion of UNStudio in the Middle East.
As such, the role will be based in our Dubai office and focused on the expansion of UNStudio’s business network in the UAE. You will work closely with the Business Development team in Amsterdam and be part of the larger international bidding team. You report directly to the company’s Managing Director MEA.
To make it a success, you need to have good industry knowledge and a willingness to keep up with trends. You need to have excellent writing and editing skills and pay attention to detail. To keep up with the fast-paced nature of the industry, you have to have outstanding organisation skills and have the ability to prioritise and work under pressure and to deadlines.
Your main responsibilities are:
Lead generation and bid coordination
Develop bid plans including contributing to win themes with bid lead
Conducting research and brainstorming key points to include in the bid
Crafting persuasive and detailed proposals.
Review RFPs, confirm bidding team and work with bid team on the response
Coordinate tender queries and clarifications from client and distribute to bid team
Review bid document and pull together content from previous relevant bids, best practice answers from bid portal and systems.
Proofing bid response documents for accuracy (spelling, grammar) and relevance
Ensure on time delivery of hard copy proposals
Work in conjunction with the wider Business Generation team to ensure central bid library is kept up to date and bids are filed correctly, and best practice answers and unique questions identified
Monitoring procurement portals regularly for new leads and opportunities
Liaising with suppliers, vendors, and subcontractors
Part of the tasks are dedicated to the day-to-day business of UNStudio Middle East, which means in addition to the BD tasks the role requires carrying out administrative tasks, to support the Managing Director MEA.
