Ships Agency Operations Supervisor, Wilhelmsen, Doha, Qatar

About the position:

Attend all vessels within the scope of responsibility, in compliance with applicable work processes, standards and procedures, with special attention to correct, accurate and timely use of the operating system.  The Ships Agency Operations Supervisor will lead a team of Ships Agency Operators and will report to the Ship Agency Manager / Ship Agency Operations Manager.

Main Responsibilities:

• Attend and board vessels as required and as directed by respective Manager, in accordance with WPS SOO and Customer Requirements

• Responsible for the effective coordination of assigned port calls

• Advice on selection of contractors for goods and services provided to principals, including submission of competitive quotations, as required

• Ensure compliance with Ships Agency processes, standards and procedures, including correct use of the operating system

• Ensure mandatory use of WASP as reporting tool in compliance with the SOP

• Ensure proper monitoring of the vessel and attendance to any follow up enquiries

• Ensure correct amount of pre-funding are received or the correct level of authority has approved any deviation, prior to performing the Port Call. Same to be ensured when additional funding required prior vessel’s sailing

• Establish and maintain vessel’s files and ensure that all transactional systems are updated real time

• Ensure proactive, efficient and timely communication at all times

• Report leads, business opportunities and relevant port updates observed to Manager

• Monitor and record expenses that arises during vessels’ port call

• Ensure Cash-in-Transit (Cash to Master) as per WPS procedure

• Proactively follow up, check and approve supplier’s invoices

• Ensure cost effectively Vessel Operations

• Comply with WPS PPE Standard when working in ports/onboard vessels

• QHSSE matters in own function – use of Take 5 as appropriate

• Provide input to improve the operational and cost efficiency of the port call

Accountabilities:

This position will be measured against:

• Ensure consistent high level of accuracy of deliverables.

• Meet or exceed annual KPI’s targets for Ships Agency performance.

Your Qualifications: 

• Minimum of 4 years of operational experience within the different ports in Qatar

• Overall minimum operational experience of 5 years within Ships Agency & Port Operations

• Must have prior experience of leading a team of Operations personnel

• Good communication skills and command of the in English language (oral and written)

• Process and system understanding

• Self-motivated and result orientated 

• Proactive and possesses ability to anticipate issue to facilitate preventive measures

• Ability to work under pressure

• Problem solving skills with ability to make fast and sound judgement

• Ability to effectively plan & direct an operation without compromising on safety to personnel and vessel

• Good motivator and team leadership skills

• Familiar with Port & local Authorities regulations, procedures and governing tariffs

• Computer literate

Main responsibilities

• Ensure that the Ships Agency SOP is adhered to with strict compliance and that all KPI’s are met without fail.
• Maintain good relations with Customers and various other stake holders.
• Distribution or correct allocation of Owner’s / Charterer’s expenses are established prior rendering services.

Main Responsibilities

• Attend and board vessels as directed by respective Manager in accordance with WSS SOP and Customer requirements.
• Arrange all inward and outward formalities including quarantine/immigration/customs clearance. 
• Collect and process ships documents, as required throughout the port call. 
• Perform vessel visit, as required, in accordance with SOP and Customer Requirements, always ensuring with Master that all husbandry, vessel and cargo requirements are in order. 
• As applicable, ensure all requirements relating to cargo matters are well understood and relayed to Manager and other relevant parties.
• Report leads, business opportunities and relevant port updates observed to Manager. 
• Arrange sign on/off, shore passes or gate passes for crew/guests as instructed. 
• Assist with transportation of VIP, Master and crew as instructed. 
• Ensure mandatory use of VOSS as reporting tool in compliance with the SOP. 
• Reporting ships arrival/sailing/cargo/commence/complete/ times and condition after office hours, as applicable. 
• Ensure mobile phones hired out to vessel are signed for by Master and collected prior to departure. 
• Comply with WSS PPE Standard when working in ports/onboard vessels. 
• QHSSE matters in own function and Take 5 as appropriate. 
• Ensure accurate, timely and professional communication to all external and internal parties.
• Report and track cost elements of the call and give input on efficiency of the call. 

 

Qualifications

• Operations Experience from Maritime industry.
• Good communication skills and a very good command of the English language (oral and written). 
• Pro-active and well organized. 
• Ability to work under pressure. 
• Thorough and attentive to details. 
• Valid Driving License.
